How to Set Up a School Fee Structure (Step by Step)

A fee structure answers one question for every parent: what do I owe this term, and for what? Get it organised once and the rest — invoices, payments, reports — follows.

1 · List your fee categories

Typical categories: Tuition, Registration / Admission, PTA levy, Books and stationery, Uniform, Exam fee, ICT, Sports and culture, Transport, Feeding and Boarding. Only create the ones you really charge.

2 · Set the amount per class and term

Fees usually differ by class (and sometimes by term). Choose the class and term, then add one fee item per category with its amount and due date.

3 · Decide discounts up front

If you give a sibling discount or scholarships, decide the rules before billing so invoices are right the first time.

4 · Generate invoices — the billing step

Setting amounts does not bill anyone. Generate invoices creates one invoice per student, and only then do parents see the fee.

5 · Offer instalments where needed

For larger invoices, split the amount into dated instalments so parents can pay in parts; the plan must add up to the amount owed.

6 · Record and follow up

Online payments record themselves; record cash and bank payments on the Fees page; run the outstanding-balance report before each term.

All of this is a guided flow in MSMS — see how it works.

Quick answers

What is the difference between a fee structure and an invoice?

The fee structure says what a class owes for a term. An invoice is the bill created for each student from it — and it is the invoice that parents see.

Can parents pay in instalments?

Yes. You can split an invoice into dated instalments, and parents can also pay part of a balance.
