How to Choose School Management Software: A Checklist
Buying school software is a decision you will live with for years. Before comparing brands, check what matters to your school with this list.
The checklist
- Fees and payments. Can parents pay online or by mobile money? Are payments verified before they are recorded? Can you do instalments and sibling discounts?
- Parents. One login for all children? Phone-friendly? Can they sign in with a phone number?
- Your curriculum. Does it understand your classes, terms and grading scale — or will you type everything by hand?
- Results. Positions, comments, approval before publishing, printable report cards?
- Ease of use. Does it tell staff what to do next? Try the demo as a teacher, not just as an admin.
- Who owns the data? Is it on your hosting, in your database, exportable?
- Price model. One-time or monthly? Per-student fees? What does renewal cost, and what happens if you stop paying?
- Support and updates. How long is support included? Are updates automatic?
- Try before you buy. Is there a live demo with every portal?
Where MSMS stands on the list
MSMS runs on your own WordPress hosting, keeps data in your own database, has country presets for 17 countries, a parent portal with one login per family, mobile-money and gateway payments, a one-time price from $49 with every feature included, and a read-only live demo of all four portals. It does not include a free tier, and it is a WordPress plugin — if you cannot host WordPress, it is not the right fit.

Quick answers
Should I choose a one-time price or a subscription?
A one-time price is cheaper over several years and the school keeps running if you stop paying; a subscription spreads the cost. Check what each option includes for updates and support.
What should I test in a demo?
Add a student with a parent, generate an invoice, record a payment, enter marks as a teacher and view a report card — then look at the parent's phone view.
